    Six Ingredients to creating a meeting they will all remember

    There are excellent meetings, and then there are bad meetings. Bad meetings drone on forever, you never seem to get to the point, and you leave wondering why you were even present. Effective meetings leave you empowered and feeling that you’ve really accomplished something…this should be the end-goal for every meeting.

    Whether it’s a conference or a brief meeting with an investor on your exhibition stand, effective meetings really boil down to three things: They achieve the meeting’s objective; take up a minimum amount of time; and they leave participants feeling that they’re a part of something special. Productivity is sparked long after the meeting ends, and each participant believes in the content that was shared and discussed.

    According to Kimpton Hotels and Restaurants, here are six ingredients that will assist you in creating and hosting a meeting that all your participants will remember:

    1. Movement Matters
    Keeping guests seated for hours on end is probably not the best way to get them eager about your subject matter. It is suggested that you start the day off with a group activity. Zumba classes, hula hoop lessons and, occasionally, a round of kick boxing have been recognised as great activities used to kick-start a meeting. You can even have a yoga teacher lead some meditation, even if it is a mere 10minute session. And why stop there? Other companies have had balance balls, stretch bands and foam rollers for participants to work out any kinks they might get while sitting.

    2. Eat your Kale
    Food is fuel for productivity, so if you wish to have a productive meeting, you need to have healthy food. Try serving some quinoa and kale or fresh veggies. Pair that with a smoothie and you’re good to get started. And yes, there may be some chocolate involved here and there, but just remember to mind the sugar. High-sugar foods and beverages can lead to energy crashes, while low-sugar options help folks stay satiated and hydrated without bottoming-out. For healthy drinking try keeping a fresh juicing station in your exhibition stand meeting area, where participants can help themselves to fresh juice, water or both.

    3. Make them comfortable
    Whether you’re hosting a mass staff meeting at the office or a brief business meeting on your exhibition stand, people tend to feel more engaged and creative when they’re physically comfortable in their surroundings. Consider including a mix of traditional and residential-style seating like sofas and couches.

    4. Out-of-the-box breakout sessions
    The Hotel Palomar Phoenix recently unveiled a program dubbed “Breakaway at CityScape” designed to spice up meetings with breakout sessions that truly break away from tradition. Some of the more engaging options on the list include a bike ride, picnic, or lunch at the local bowling alley. These activities are a great way to switch up your surroundings and stay energized throughout the day. More specific to an exhibition stand or exhibition show context, take a walk around the exhibition hall with your participants, analysing competition, showing them around the area, then finally heading off to enjoy a coffee and light meal. This will ensure that they’re refreshed and should eliminate any chances of boredom.

    5. Keep the temperature balanced
    Temperature plays a big role in staying focused, and we have found it’s important to be conscious of the thermostat. Inevitably, there will be guests who get cold, so it is a good idea to provide wraps to keep them comfortable.

    6. Keep it fun
    Innovative meetings are all about engaging attendees in new ways. According to Featured Venues and Destinations, the best way to engage attendees is through fun. “In fact, the core principle that guides our meetings is the belief that work can be fun, and that having fun can lead to better work too”.
