Welcome To EXSA Awards Submissions 2025!

Judging process for the year 2025:

All EXSA members who are in good standing qualify to submit work.

• The cost of submission is R750 + vat per submission.
• Please ensure all submissions are made online by 29 November 2024.
• We have made submissions an online process, you are welcome to send your submissions as you complete your stands, we will file them accordingly and when the submission due date has arrived you may choose the submissions you wish to enter.
• Please only make use of the 2025 PowerPoint submission template AND the online platform.
• The photos need to be high res and from every angle of the stand.
• You are required to provide a description of your role in the event and video footage of that event.
• Please submit a separate PowerPoint submission for each entry.
• Please provide all the following information per submission:
  • Exhibitor or event client name
  • Name and date of exhibition or event
  • Confirmation of category, stand or event type
  • Confirmation of stand or event size
  • Company details for invoice purposes
• Please do NOT put your company name on the PowerPoint or online template. In your explanation of stand or event, please include any collaborators that were involved and if you would like to include them in the awards should they win.
• The EXSA office will invoice for each submission. Please ensure submission payment is made before judging takes place.
• Submissions for the awards may only be made on this PowerPoint presentation. Include text and photographic information but please do not alter the template.
• ANY SUBMISSIONS MADE AFTER THE 29 NOVEMBER 2024 WILL NOT BE ACCEPTED!
• PLEASE DO NOT USE YOUR COMPANY NAME OR LOGO ON THE SUBMISSION.
• ONLY SUBMISSIONS FULLY PAID FOR WILL BE JUDGED.

EXHIBITION STAND CATEGORIES

Please enter your exhibition stand submissions using the following guidelines:

TYPE Categories options (based on method of build) will be classified as follows:

• CUSTOM (including Clad SYSTEM – previously referred to as COMBINED)
• SYSTEM (with not more than 25% Custom Element to the TOTAL design)
• OUTDOOR
• ORIGINAL CONCEPT via 3rd PARTY DESIGNER / AGENCY / COMPANY
• PAVILLION

SIZE Categories options (based on footprint dimensions) will remain the same as 2022/23

• 12m² or less
• 13 – 24m²
• 25 – 50m²
• 51 – 100m²
• 101 – 200m²
• 200m² and larger
• PAVILLION

EVENT CATEGORIES

Please enter Event submissions based on the following:

• Small event up to 100 people, wedding, conference etc.
• Medium event up to 350 people
• Large event 350 plus people

When submitting your event please ensure the type of event is stipulated i.e. Conference, exhibition.

OTHER CATEGORIES

Below are the categories described as “other” for which submissions can be made. When making your submission please provide photographic evidence, details of the event as well as the services provided.

• Décor
• Audio Visual
• Furniture
• Flooring
• Logistics
• Bar Services
• Technical support
• Media coverage
• Infrastructure build
• Event Greening Sustainability Award (judged and awarded by EGF)
• Any other category you would be proud to submit for judging.

PLEASE NOTE THAT THESE CATEGORIES WILL BE UP FOR VOTE BY THE BOARD AND MEMBERS. THE OUTCOME OF THE VOTING WILL BE PROVIDED CLOSER TO THE AWARDS.

The judging process for the EXSA-LLENCE AWARDS will be run as follows:

All submissions will be received by the EXSA Office and sent to the judging panel on or before the 29 of November 2024.

The judging panel will consist of external independent professionals.

All entries submitted, excluding their own, will be sent to other contestants to peruse and is not for judging purposes. If you do not wish to enter and would like to be involved in the judging process, please let me know.

The judges will send their scores to the EXSA office where they will be collated. The winners will be announced at the awards in January 2025.

Please take note, if you need professional photos or videos taken, please contact us or the organiser, and get the best quality content.

After the 2022/2023 awards we are so excited to see what you are going to produce this year, and we are planning another fun and exciting awards function. This is a very special industry and you, our members, have the most incredible spirit that we will continue to foster.
